Sell on a pro-rata basis from any join date, attach add-ons like PT packs or steam access, and let members pay online via Razorpay/PayU/UPI with the receipt issued the moment money lands. Renewals, freezes & upgrades

The renewal is your real revenue, so the system treats it as a first-class event: an expiry calendar, auto-staged WhatsApp and SMS reminders at T−7, T−3, and on-the-day, and a one-click renew that carries forward the member’s plan and pricing. Members on travel or injury can freeze for a set window with the days credited back to the end date, and mid-cycle upgrades from monthly to annual are billed on the difference — no manual maths, full audit trail.

Member profiles, health & goals

The member is the entity everything hangs off — one profile carrying photo, KYC, emergency contact, and the links that matter: their assigned trainer, their couple/family co-members, and their corporate tie-up. Record the PAR–Q health declaration, injuries and conditions, baseline body composition, and the goal they walked in with, then log measurements over time. Trainers open the same record on the floor; the front desk sees it at check-in. Communication — renewal nudges, class reminders, birthday wishes — goes out per profile over WhatsApp, SMS, or app.

Check-in & attendance

Members tap in with a QR code, biometric, or RFID band, and the system instantly verifies an active membership — blocking the expired and flagging the frozen at the door. Live floor-occupancy shows how full the gym is right now, peak-hour heatmaps tell you when to roster more trainers, and a no-show report surfaces the members who haven’t scanned in three weeks so you can win them back before they silently lapse.

Class & PT scheduling

Build the weekly timetable — yoga, Zumba, HIIT, spin, CrossFit WODs — with capacity caps, assigned trainers, and a studio or room. Members book a slot from the app, join a waitlist when it’s full, and are auto-promoted on a cancellation. Personal-training sessions draw down from the member’s purchased PT pack, with the session marked complete only when both member and trainer confirm — so commissions and remaining-session counts are never in dispute.

Trainer roster & commissions

Roster trainers across shifts, classes, and PT slots, and track each one’s certifications and renewal dates. Define commission rules the way you actually pay — a slab on memberships they convert, a per-session rate on PT delivered, an incentive on supplement upsell — and the system computes earned commission from the same booking and sale data, ready to flow into payroll. No more end-of-month arguments over who closed which deal.

Billing & GST

Gym and fitness services attract 18% GST (SAC 999723), and every membership and PT invoice carries the correct SAC, tax split, and your GSTIN as a compliant tax invoice. Continuous serial numbering, a cancellation and credit-note trail, and GSTR–1 / GSTR–3B-ready summaries mean filing is a download, not a reconstruction. Corporate and multi-member invoices, advance receipts, and refunds on freeze or cancellation are all handled on the same ledger as the rest of the business.

POS — supplements & merchandise

Run the counter as a proper retail point of sale: whey, BCAAs, pre-workout, shakers, tees, and resistance bands stocked with batch and expiry, reorder levels, and the right HSN — supplements typically at 18%, apparel at its applicable slab. Sell against the member account or take card/UPI/cash, raise a GST tax invoice instantly, and generate an e-way-bill on inter-branch stock transfers above the threshold. Stock value, margin, and fast-movers stay live against the same books as memberships.

Locker management

Allocate lockers by number and bank, bill the locker fee onto the member account as a recurring or one-time charge, and see at a glance which are occupied, free, or overdue. Deposits and keys are tracked, vacated lockers are released back to the pool automatically when a membership lapses, and an overdue-rental report keeps a small but real revenue line from quietly leaking.

Member communication

Reach members where they actually read — WhatsApp Business templates and SMS — driven straight off the data. Renewal reminders fire on the expiry schedule, class and PT-session reminders go out the evening before, win-back messages target the no-shows, and dues reminders chase outstanding balances. Festival greetings, new-batch announcements, and offer broadcasts go to a segment in a click, with every send logged against the member profile.

Payroll & retention analytics

Pay trainers, front-desk, housekeeping, and management staff on separate salary structures — base plus the commission earned on the floor — with EPF, ESI, and Professional Tax to current slabs and TDS deducted under Section 192. Payslips, Form 16, and the EPF ECR and ESI return files come out ready to upload, and salary posts straight to the GL. Sitting on top of all of it is the dashboard that runs the business: active vs. lapsed members, renewal rate, churn and the no-shows driving it, revenue per member, class fill-rate, PT utilisation, and which acquisition source pays back — the numbers that tell you whether next month grows or shrinks.
