Member record & family
One file per member carries the full profile — photo, KYC, the nominee for membership transfer, and dependants (spouse and children) linked as add-ons with their own access cards. Because spouse and children are linked to the principal member, a family’s F&B chits, court bookings, and subscription all roll up to a single account and a single statement — no duplicate entries, and no argument at the desk about whose son signed which chit. Every booking, charge, and payment stays attached to the record for life.
Categories & membership lifecycle
Model your real category structure — Permanent, Life, Associate, Corporate, Temporary, Honorary, Service, and Spouse/child add-ons — each carrying its own entrance fee, subscription rate, voting rights, and facility access. Run the whole lifecycle with effective dates: application and waitlist, committee approval and ballot, enrolment, suspension for arrears, transfer to a nominee, and resignation or expiry — so the ledger never disagrees with the register, and the AGM list is accurate to the day.
Subscriptions & periodic billing
Run the subscription cycle as a batch instead of by hand on the 1st: the system raises monthly, quarterly, or annual dues for every active member at their category rate, pro-rates joiners and resignations, and posts the charge to each account. Late-payment interest, suspension on non-payment, and reinstatement on clearance are rule-driven. Members pay online via Razorpay, PayU, or UPI from the portal, with the receipt posting back the moment the gateway confirms.
Court & facility booking
A live diary for tennis and squash courts, the pool, the card room, the gym, and the snooker tables. Members book a slot from the portal or the desk, the system prevents double-booking, applies member-versus-guest rates, and posts the per-hour charge straight to the member account. Peak/off-peak pricing, coaching slots, recurring weekly bookings, and no-show rules are all configurable — recreational facility usage carries the correct SAC code and GST slab automatically.
Banquet & event bookings
Block banquet halls, lawns, and board rooms on a calendar that takes a confirmed advance, holds the date, and prevents the dreaded double-booking. Build the event estimate from hall hire, decoration, equipment, and a per-plate catering line; raise a proforma, collect a part-advance, and settle the balance against either the member account or a separate event tax invoice. Renting of premises and event services carry their own SAC and GST, and an e-way bill is raised where hired goods cross the threshold.
Events & tournaments
Run the club calendar — the New Year ball, the annual sports meet, a bridge evening, the box-cricket league — with online registration, ticketing, and per-head or per-team fees collected to the member account or by card at the gate. Tournament draws, fixtures, entry lists, and results are tracked in one place, with sponsor and prize-money entries flowing into the event’s own profit-and-loss so the committee sees whether the gala actually paid for itself.
F&B & bar POS on member chits
A restaurant and bar POS where a member signs the chit instead of paying — the bill posts to the membership number, with a credit limit and a PIN or card swipe to authorise. Multiple outlets (dining, bar, poolside, takeaway), KOT/BOT printing, table management, happy-hour pricing, and split bills are built in. Each line carries the right GST slab — AC restaurant service, packaged goods, and liquor (a state VAT/excise item, kept outside GST) are taxed correctly — and the day’s sales reconcile to the kitchen, the bar stock, and the cash drawer.
Guest management & gate
Every guest enters against a sponsoring member, within the by-law’s monthly guest quota, with a guest fee and an access band that expires at end of day. The gate logs entry and exit, guest charges post to the sponsor’s account, and reciprocal-club visitors are recognised against the affiliation list. Repeat-guest and quota-breach reports keep the club compliant with its own rules — and stop the front desk from waving the same “guest” through fifty times a year.
Statements & member communication
Reach every member through one channel that branches into SMS, email, and WhatsApp — AGM notices, event invites, dues reminders, and the monthly statement, all logged with delivery status against the member record. The consolidated statement pulls the opening balance, subscription, F&B chits, facility and event charges, and payments into one PDF. Ageing buckets and escalation chase chronic defaulters automatically, so “I never got the bill” stops being an argument at the desk.
Member portal & app
A 24×7 portal and app where members do for themselves what used to tie up the desk: view and download statements, pay subscriptions and chits online, book a court or a banquet slot, register for an event, see club circulars, and update their own KYC and contact details. Dependants get their own logins under the family account, and every self-service action posts straight to the same ledger — no re-keying, no separate booking diary to reconcile.
Staff payroll & attendance
Run separate salary structures for permanent, contract, and outsourced staff — stewards, kitchen, grounds, security, and office — with biometric attendance feeding loss-of-pay and overtime. EPF, ESI, and Professional Tax compute to current slabs, TDS on salary is deducted under Section 192, and payslips, Form 16, and the EPF ECR and ESI return files come out ready to upload. Tips and service-charge pools are tracked and distributed transparently, and salary posts straight to the GL.
GST, accounting & committee reporting
Every chargeable transaction — subscription, court fee, hall hire, restaurant bill, guest charge — becomes a GST-compliant tax invoice with the right HSN/SAC and the correct CGST/SGST or IGST split, while liquor stays on state VAT/excise outside GST. Cross the turnover threshold and e-invoices push to the IRP for an IRN and QR automatically, with GSTR-1 and GSTR-3B generated from the same posted entries and RCM handled on the supplies that attract it. On the same double-entry books you run purchase, bar and kitchen stock with reorder levels, fixed assets and depreciation, and bank reconciliation — then close the year with the income-and-expenditure account, balance sheet, sub-committee budgets, and the audited statements the AGM signs off, all from one source of truth.
